Responsibilities
The Project Specialist will assist Organization level Operations teams with project related administrative duties to include initial project set-up, accumulation of related documentation and support, ongoing project monitoring and maintenance, bill preparation, and collection efforts. Additionally, the Project Specialist will provide support to Organization management by providing relevant project related reporting and status updates as needed.
- Monitor and track all project-related expenses, invoices, and paymentsTrack and report on monthly project financial performance, including costs, revenue, and profit margins
- Comprehend and execute all aspects of project initiation and set up with direction from Operations; organize proposals and coordinate with sales staff
- Ensure the completeness and accuracy of all project related documentation
- Maintain close working relationship with Operations teams and establish consistent and timely meeting times to review projects for maintenance possibilities
- Provide assistance in the monitoring, review, and analysis of project related detail and project billings and work with Operations and Project Billing/Support teams to take corrective action when necessary
- Assist in client invoice review and communication with internal and external parties related to cash collections
- Prepare and publish relevant reports to Operations and Management teams related to project and Organization status and performance
- Coordinate ongoing communication with Project Billing/Support teams to stay current on process and procedure updates
- Assist with Corporate level support gathering related to internal and external audits as needed
- Perform other tasks as assigned
Qualifications
- 3+ years of related work experience in a professional capacity
- Strong mathematics and financial background
- Strong computer skills and experience with related software programs
- Excellent written and verbal communication skills including the ability to clearly articulate assignments and deliverables
- Ability to think critically, analyze data and problem solve amd to organize emails and data sets
- Ability to troubleshoot issues and problem solve on the fly
- Ability to meet or exceed aggressive deadlines while maintaining teamwork and collaboration with others
